  1. We rely a lot on vendors
    1. Suppliers, subcontractors, equipment dealers, etc.
    2. They support our business and help us grow
    3. We need to communicate with them
  2. Three key areas of communication
    1. Invoices, payments, etc. – the accounting stuff
    2. Project specific information like changes, schedules, etc.
    3. Issues and problems
  3. Communicate with your vendors just like your clients

Q: How can I get better control over my suppliers?

A: It starts with a good Purchase Order and excellent communication.

 

  1. Suppliers can make or break a project
    1. Late deliveries versus on-time
    2. Material problems like damaged product or wrong product
    3. Poor submittals
  2. Start by pre-qualifying your suppliers
    1. Just like any sub we should make sure our suppliers are up to the job
    2. Can they handle your needs
    3. Is this something they do regularly
  3. Write a good purchase order
    1. Always use a PO – your own not theirs
    2. Create a template
    3. Outline the requirements including expected durations
  4. Communication beats all
    1. Start communicating your requirements clearly during the buyout
    2. Keep them up to date with clear timelines
    3. Follow-up with them, never think that they have you covered, confirm it

Proactively manage your suppliers and the payment process.

 

  1. Managing suppliers and the payments
    1. Always buy using a Purchase Order
    2. Buy the best terms to fit your needs
      1. Sometimes it’s beneficial to pay a little extra for better terms and service
    3. Set up proper procedures
  2. Control your inventory
    1. Work with your schedule – order what you need
    2. Bill for stored materials if you can
    3. Time your deliveries to stretch the payables
  3. Tracking and communication
    1. As always – communication is key
      1. Let you vendors know how you work with them
      2. Let them know what you want
    2. Track all deliveries at the time of delivery – note any damages, etc.
    3. Let suppliers know what is going on
