“Document templates allow your team to focus on your clients instead of building forms.”

In the 3rd part of our Procedures, Processes and Templates series we discuss the templates and samples.

As we continue with our Procedures Series on Business Thursday we are in our third episode and discussing document templates. If you missed the first two you can find them on the previous Thursdays.

What:

Sample documents and templates to use when following the procedures and processes we have developed for out teams. These are documents like transmittal letters, invoices, cover sheets, submittal sheets, logs, schedules, meeting agenda, company letterhead and other forms and documents your team may need during the course of managing your projects.

Why:

Creating these templates help to maintain a consistent brand message on all your projects and allows your project teams to focus on customer service and not on building documents.

How:

Similar to what we did with the procedures and processes, we start by looking at what we are using today. Look at each procedure you are working on and determine what documents you use in performing those tasks. These are your beginning templates.

Take what you are using and create a blank template that can be filled out when needed. At the same time create a couple of sample completed documents. These samples will be your training tools and examples for people to follow.

Add these templates to your procedures and store them in a central location that everyone who needs them can access.

Remember creating these procedures, processes and templates will allow you to delegate more and focus on building your business instead of working in your business.

Take-Action Items:

  1. Develop templates and samples to go with your procedures and processes

  2. Store the templates in a central location with easy access
